New Membership Report Forms

Dear Brothers:
The new membership report forms for September – October 2002 are now available. (At last!) The new reports include significant changes over reports from previous years. Most importantly, rather than filing a report and mailing a check every month, reports and dues now will be submitted every other month and cover a two-month period. They must be postmarked or e-mailed by the 20th day of October, December, February, or April, depending on the reporting period.
The deadline for the April 2002 report (which uses the previous form) and September – October 2002 report has been extended until October 31.
The other changes are:
- Conversion to Microsoft® Excel format.
- Embedded formulas to automatically calculate amount(s) owed.
- Updated dues, jewelry, and certificate prices.
- Revision of Form E-2 to be a "living E-1 card." (Chapters may continue to submit E-1 cards in addition to Form E-2.)
- Instruction sheet for each form.
The format of the new reports addresses two issues. First, they should simplify the reporting process by reducing the number of reports that each chapter and colony must file. Second, the revised Form E-2 (particularly part B) will enable the Grand Council to make updates to members' information in the national membership database in a timelier manner.
I realize that Form E-2 for September – October 2002 will take some time to complete. Part B of the form can be completed electronically and e-mailed to me. Please keep in mind that having current information will help ensure that the programs and services the Grand Council has been directed to provide reach every member. The Grand Council appreciates the chapters' and colonies' assistance with this effort! In the future, Form E-2 will be chapter- and colony-specific, and the amount of time needed to update it will be considerably less. The information provided in the September – October 2002, for example, will be returned in the November – December 2002 report for changes and additions. Furthermore, the chapter or colony can use this form as its phone and contact list.
